This policy covers all data handled by WY-FY Executive Coaching (updated 0.3.24)
WY-FY is the data controller of your personal data. This policy explains what personal data WY-FY may collect from you, why it is needed, how it is used and the rights you have regarding it.
By visiting this website, you are agreeing to all the terms in this policy, which covers any information which relates directly or can be linked directly to you in accordance with the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2016. This includes your name, phone number and email address.
WY-FY Executive Coaching is privacy conscious and strongly committed to your right to privacy. Your data will be:

- Processed for limited purposes
- Adequate, relevant and not excessive
- Not kept for longer than is necessary
- Processed in line with your rights
- Secure
At WY-FY maintaining the security of your data and respecting your privacy rights are priorities. There is a commitment always to handle your data fairly and legally. WY-FY is transparent about what data is collected about you and how it is used. This policy provides information about:

- What personal data is collected
- How maintenance of your privacy is secured
- Your legal rights relating to your personal data
HOW YOUR DATA IS USED
WY-FY uses your personal data:
- To provide services to you
- With your agreement, to contact you electronically to enable WY-FY to manage service to you
- Where there is a legal right or duty to use or disclose your information (for example in relation to an investigation by a public authority or in a legal dispute)
No data will be shared with third parties except in these circumstances:
- Governmental bodies, regulators, law enforcement agencies, courts/tribunals and insurers where required to do so
- To comply with legal obligations
- To exercise EMCS legal rights (for example in court cases)
- For the prevention, detection, investigation of crime or prosecution of offenders
- For the protection of WY-FY clients
Your personal data will not be retained for longer than necessary for the purposes set out in this policy. Different retention periods apply for different types of data, but 7 years is the longest retention period for any personal data .
WHICH PERSONAL DATA?
WY-FY may collect the following:
- Your name
- Your contact details: telephone number including mobile; email address
- Your communication preferences
- Your interests, preferences, actions you intend to take as a result of coaching, feedback, and survey responses
- Your location (if applicable for face to face coaching, but unnecessary for remote coaching)
- Your correspondence and communications with WY-FY
No data is knowingly collected relating to children.
Personal information from general public users is not stored or captured and personal information is collected directly, for instance when you send an email.
HOW DO WE COLLECT DATA
You may give personal data when corresponding by post, email, phone or otherwise.
HOW YOUR DATA IS USED
WY-FY Executive Coaching collects and uses clients’ personal data on a legal basis:
- Consent: you have agreed that you are happy for WY-FY to use your personal information for the purpose of planning and delivering coaching services to you, including invoicing
- Legitimate interests: the use of your data is necessary for WY-FY to conduct its business, but not where its interests are overridden by your interests or rights
- Legal obligation: complying with WY-FY’s legal and regulatory obligations
- Performance of a contract: WY-FY uses personal information in order to provide you with coaching services the nature of which have been discussed and agreed with you; improving and developing the service to meet your needs and preferences
- Vital interests: The processing of your personal information is necessary to protect you or someone else's life
- Complaints, disputes etc: handling client contacts, queries, complaints or disputes;managing insurance claims by clients; handling any legal claims or regulatory enforcement actions taken against WY-FY
HOW WY-FY PROTECTS YOUR DATA
WY-FY Executive Coaching is committed to keeping your personal data safe and secure.
WY-FY’s security measures include:
- security controls which protect WY-FY Executive Coaching from external attack and unauthorised access including firewalls; McAfee security; desktop, laptop and mobile phone password protection; facial recognition; secure pin and 4 minute cut-off time.
- handwritten notes are anonymised and either stored in a locked filing cabinet or shredded after their transference to the computer to be stored as above.
If I am informed of a data breach I will inform you within 72 hours.
YOUR RIGHTS
You have the following rights:
- the right to ask what personal data WY-FY holds about you at any time
- the right to ask me to update and correct any out-of-date or incorrect personal data that I hold about you free of charge
- Ask to have your personal data erased
- object to the way your data is processed

Clients have the right to withdraw consent for processing their data at any time. I shall cease to process data if consent is withdrawn.
